Why use it

What the platform saves you

This is not one more ordering channel: it is the very file the Services Vin team works on, opened up on your side. You see the price, the status of the order and the documents at the same time we do.

1

A firm price without waiting for an email

The quick estimate queries FedEx rates live: route, products, service — the price appears as you type.

2

The full price, not just the transport

Transport, fuel surcharge, estimated duties and taxes, service fees: you get an estimated delivered total. That is the figure you need to answer your customer.

3

Customs requirements flagged from the start

Depending on the destination, the platform flags the mandatory documents — COLA and Prior Notice for the United States, for example — before the order leaves.

4

All your documents downloadable

Quotation, commercial invoice, COLA, Prior Notice, shipping label: available from the order page, with nothing to ask for again.

5

The full history of your shipments

Search by quotation number, tracking number, shipper or recipient; advanced filters and export. Finding last year’s shipment takes seconds.

6

Available whenever you are

Around the clock, from a browser, and in six languages (French, English, Spanish, Italian, Portuguese, German).

Worth remembering: an order created from the platform lands straight in our production tool, already structured. Less re-keying, so fewer mistakes on address, volume or declared value.

Estimate or quotation? The estimate gives an immediate indicative price and commits you to nothing. The quotation is the real file: once approved, it is what triggers the FedEx pickup and the production of the documents.
Step 1

The quick estimate: a price in one minute

Three blocks to fill in and a price that recalculates in real time: the screen to open when a customer asks “how much does it cost to send me that?”.

What to know about each block

1

Route

France is offered by default; ten frequent destinations are one click away. A DOCS marker flags destinations that require particular documents.

2

Products

Product type (wines, spirits, beer, cider, grape juice, olive oil…), quantity, volume and unit value. Add as many lines as you need: weight and carton count are worked out for you.

3

Delivery

Parcel for packages, Freight from 68 kg. Then the FedEx service and the options. The price updates with every change.

4

The right-hand panel

It shows the estimated delivered total. The Convert into a quotation button carries everything you entered into a complete file — nothing to type again.

Choosing the right service. Economy guarantees no transit time: parcels travel when space is left in the hold, and delivery can take up to a fortnight in busy periods. If the date matters — a trade fair, a tasting, a competition — choose Priority.
Step 2

Creating a quotation: seven guided steps

The quotation is the real file for the shipment. You move forward step by step, you can go back, and the draft is kept — no need to do it all in one sitting.

1

Shipper

Search for your company; details, company registration, EORI, FDA number and pickup addresses come up automatically. Check two fields above all: the closing time and the pickup address if it differs from the head office.

2

Recipient

Full details: company, named contact, telephone, email, address and country. The telephone and the email are essential — FedEx and customs use them if a question comes up on site.

3

Products

Same logic as the estimate: type, quantity, volume, unit value. The declared value must match the real value, as it is what duties are calculated on.

4

Delivery

Shipping mode (parcel or freight), FedEx service, options, and who bears duties and taxes: DDP (you pay) or DAP (the recipient pays).

5

Order information

Reason for sending (sample, sale…), availability date, your internal reference — that one lets you find the shipment using your own naming. This is also where you attach your files.

6

Packing

How the bottles are split across cartons. A proposal is calculated automatically; adjust it if your actual packing differs, as the billed weight depends on it.

7

Summary

Read it all through, then approve. The quotation goes into processing: you find it straight away in Order list.

Tip. For a repeat shipment to the same recipient, open the previous order and use Actions → Duplicate order: a new draft picks up the business information, without the transport or billing data.
Step 3

Tracking the shipment and downloading the documents

Once the quotation is approved, everything happens on the order page: status, pickup, contents, billing and documents.

Frequently asked questions

The points that hold things up most often

Is the price shown the final price?

Transport and the fuel surcharge are firm. Customs duties and taxes are an indicative estimate: the real rates depend on the HS code and on the customs agreements in force on arrival. Present them to your customer as an estimate.

Why is my order to the United States still pending?

Almost always the COLA or the Prior Notice is missing, and both are mandatory: the order stays on hold until they are supplied. The platform flags it from the estimate onwards — deal with them early.

My parcel was not collected, why?

Almost always a closing time that is too late or an incomplete pickup address. Both fields are filled in at step 1 of the quotation and are kept afterwards.

DDP or DAP, which should I choose?

DDP: you pay duties and taxes, the recipient advances nothing. DAP: they settle them on arrival. For samples or a private individual, DDP avoids refused parcels.

At what point should I switch to freight?

Freight becomes available from 68 kg. Above that, compare the two modes in the quick estimate: the gap is often significant.

Can I work in English or Spanish?

Yes: the language selector is at the bottom of the left-hand menu (FR, EN, ES, IT, PT, DE). The change is immediate and only affects your own display.

I have forgotten my password.

Click Forgotten password? on the login page. A reset link is sent to the email address linked to your account.

Something is not working as expected.

The Report a problem button, at the bottom of the menu, sends your message to our team along with the context of the screen. Faster than an email: we see the order concerned straight away.

Five habits to move fast

1Use the quick estimate to price, not to order — it is meant to be disposable.
2Check your closing time and your pickup addresses once and for all.
3Fill in your internal reference: you will find the shipment using your own codes.
4Duplicate your repeat orders rather than typing everything again.
5Plan ahead for the COLA and the Prior Notice as soon as the destination is the United States.
